Working with us

How do we start?

Write to us through the contact page and say what you need built or fixed. We reply within 2 working days with questions or a suggested first call. If the work fits, we propose a 1-week discovery and you decide whether to go ahead.

What does discovery produce?

A written specification that you own. It states what the system does, what it does not do, the data it holds, who can do what and the acceptance tests it must pass. We write it in 1 week, after reading your documentation and interviewing the people who run the current process. You can take it to another supplier.

We are not in Sri Lanka. How does the time difference work?

It works because the project runs in writing first and on calls second. Stack9 is on UTC+5:30, so our working day overlaps the morning in Europe and the afternoon in Australia and East Asia. You get a written progress note every week to read in your own morning, and we schedule calls in the overlap.

Can you take over a system another supplier built?

Yes, once we have read it. Discovery then covers the existing code, data and documentation, and the specification says what stays, what must be fixed and what we would replace. We quote only after that. You need access to the source code and the hosting accounts, or a way to get them.

What does Stack9 not do?

We do not build without a signed specification or quote before discovery. We do not place developers inside your team on a day rate. We do not hold your code or accounts to keep you as a client. If we cannot finish a piece of work properly, we say no at the start.

Cost and contracts

Do you work at a fixed price or on time and materials?

Build work is fixed price, quoted against the written specification. The proposal states scope, price, timeline and what counts as done. Discovery comes first so that we price a defined scope and not a guess. Changes after sign-off go through a written change request, each with its own price and date.

Why are there no prices on this site?

Because a price without a specification is a guess. What a system costs depends on what it does, what it connects to and which rules it must meet. After discovery you get a fixed price for a defined scope, and that is a number you can plan around.

Is discovery charged?

Yes. Discovery is a separate piece of work with its own fixed fee, agreed before it starts. You pay for a specification you own. You are free to build it with us, with another supplier or not at all.

How are payments scheduled?

Payments follow milestones, not the calendar. The proposal lists each milestone, what you can inspect when we reach it and the payment attached. You see the full schedule before you sign, and only an approved change request can alter it.

Will you sign a non-disclosure agreement?

Yes. We sign a mutual NDA before you share anything confidential, and before the first call if you need that. We can work from your template or ours.

Code, data and ownership

Who owns the code?

You do. You own the code, the data and the accounts, and we hold nothing back at handover. Any open-source components keep their own licences.

Where does the repository live?

In an account you own, on the code hosting service you choose. We work in it as invited collaborators from day one. If you do not have an account yet, we help you open one in your company's name before we write any code.

Who holds the hosting accounts and credentials?

You do. Hosting, domains and third-party services are registered in your name, and we work through the access you grant. At handover you receive every credential, and you can remove our access whenever you choose.

What happens if we want to leave part-way through?

You can leave, and you keep everything built so far. The specification is yours, the code is already in your repository and each staging release is working software. The contract sets out what is payable for work done up to that date. Another team can pick the system up from what is in the repository.

How do you handle personal data?

We touch as little of it as we can. We build and test with anonymised or synthetic data where possible, and ask for real records only when a task needs them. Access runs through your accounts, so you can see it and revoke it. We agree the handling rules in writing before the build starts.

After launch

What happens if go-live goes wrong?

We roll back. Every go-live has a written rollback plan, agreed before the date, that says who decides, what the steps are and how you return to the previous state. The acceptance suite also runs before go-live, to catch faults on staging and not in production.

What is in the handover?

The repository, the documentation and every credential. The documentation includes architecture notes, a runbook for operating the system and a setup guide that gets a new developer to a running build. We also record a walkthrough of the system, so the knowledge does not leave with us.

What does the 30-day defect period cover?

We fix defects found in the first 30 days after go-live at no charge. A defect is behaviour that does not match the signed specification. A new feature or a change to the specification is not a defect, and goes through a change request.

Do we need a maintenance agreement?

No, it is optional. It starts after the 30-day defect period and covers the work a live system needs: fixes, security updates, small changes and someone to call when something stops. We agree the scope and response times in writing. You can also run the system with your own team or another supplier.

Can our own developers maintain the system after handover?

Yes, and the handover is built for that. The setup guide gets a new developer to a running build, the runbook covers daily operation and the tests show when a change breaks something. We pick well-documented tools with long support horizons, so a developer you hire years from now can maintain it.
